How do buyers know where they stand?
By position, which you can see and defend. Everyone waiting sits in a numbered order with their deposit status beside them, so the question you get asked most has an answer that does not depend on your memory of an email thread.
Do I have to take a deposit to put someone on the list?
No. A deposit is recorded against an entry when there is one, so a serious buyer and a casual one look different on the same list — but the list works either way.
What happens when a litter finally arrives?
You match waiting buyers to it. They move to matched against that litter and the rest of the queue keeps its order, so nobody loses their place because somebody ahead of them bought.
How do I stop offering the same puppy to someone who passed?
Declined is its own status. A buyer who said no is off the active list without being deleted, so you neither chase them again nor lose the record that they were asked.
